Home Carer Scheduling System
Our Home Care Scheduling system is specifically designed to allow Home Care Agencies to manage the process of scheduling
Carers with Clients. Shifts tend to be short, often as little as one hour, and funding of shifts can come from a number of sources,
e.g. Transport Accident Commission, Local Council, Other Agencies, relatives, and sometimes a combination of all of these for one shift.
This system manages the whole scheduling process as well as the confirmation and processing of timesheets.
This home carer system comprises state of the art databases with multi-user functionality and the ability to send emails and SMS messages to Carers. The following data is held and managed within the system:
Includes name and full contact details for the client, emergency contacts, medical notes including treating doctor's contact details, full contact history, general treatment notes and key dates.
Indicates whether the client is handled by an Agency or is a private client Home carer system also contains details of each Task Type by Client with scheduling frequency and specific task details.
Includes contact details including email address, mobile and preferred contact method (email/SMS, etc), full contact history, availability by day, and the carer's standard roster. Home carer system contains multiple pay/charge rates that can be linked to Task Types and be used for overtime, weekends, etc
Includes names and key contacts for each referring Agency, such as the TAC and other third party funding agencies, full contact history, links to all referred Clients and additional billing details.
Home Carers Scheduling
Contains the schedule of Tasks by Carer by Client. Default times are generated by the system and confirmed by the Home Carer. Home carer system also contains the default pay and charge rates plus any additional allowances claimed by the Carer such as petrol, etc. All amounts can be overridden with appropriate comments. Each booking can be charged in multiple ways to allow for partial agency funding, etc.
The main Schedule form is used to view and maintain the schedule of Tasks by Carer by Client. The form shows 7 daily lists with the ability to scroll backwards and forward by week.
Each daily list of home carer system is sorted by start time showing all client/carer combinations. The schedule can be filtered by Client or Carer as well as by date ranges.
The bottom part of the form shows the full detail for the selected item including full details of charge allocation, pay rates and whether GST applies or not.
The Timesheet entry form gives a timesheet view of the schedule for ease of confirmation of timesheets and subsequent billing.
The operator of home carer system has the ability to:
- Easily assign Carers to vacant bookings Schedule or reschedule for the next few weeks based on ongoing bookings/allocations
- Send details of a selected booking by SMS or email to the Carer including time, address, additional care information, etc.
- Confirm times and any additional costs based on returned timesheets Generate invoices for Clients or Agencies depending on the booking type
New Features in Home Carer Scheduling System
We have just completed our Carer Web Portal, which allows Carers to log on,
view all future bookings and confirm timesheets via their web browser.
Also now available is an additional web portal for the Carer Manager specifically designed to allow the Carer Manager to allocate and re-allocate shifts via any browser and in particular via an iPad.
